Artificial intelligence (AI) is increasingly integrated into the business activities of companies and public organisations, whether through the acquisition of AI tools or the development of internal AI solutions. This use of AI raises legal, ethical, and organisational issues that must be addressed through a clear policy tailored to your organisation.
From a legal perspective, the AI Regulation (AI Act) requires organisations that provide or deploy AI systems within their business to ensure a sufficient level of AI awareness (AI Literacy) among their staff. The adoption of an AI Policy can serve as a concrete way to implement this obligation, contribute to manage the risks raised by uncontrolled use of AI tools by the employees/collaborators, and demonstrate the organisation’s compliance with the AI Act requirements.
The Lexing AI Policy Workshop Pack is designed to support your organisation in building its own AI policy. Through a one-day (or half-day) interactive workshop, employees and/or management of your organisation will jointly define, with the support of Lexing, the key principles to be reflected in this strategic document, to ensure that the use of AI tools is made in accordance with the company/organisation values and in compliance with the legal requirements.
Objectives of the pack
- Raise awareness among your staff about the challenges linked to the use of AI within your organisation;
- Highlight the respective perspectives of staff and management regarding AI;
- Facilitate the exchange and discussion of these perspectives;
- Identify and validate the key guiding principles of your organisation’s AI policy;
- Contribute to meeting the AI Literacy requirement set out in the AI Act.
Services included
- Preparatory phase (before the workshop):
- You will provide Lexing with information regarding the use of AI within your organisation (current practices and/or planned uses), as well as initial ideas for the AI policy from both management and staff;
- Where relevant, Lexing may recommend preparatory materials for you to review in order to enrich the discussions during the workshop.
- Workshop held at your organisation’s premises (approximately 4 to 6 hours, including a 1-hour break):
- Introduction by Lexing: What is an AI policy? Why is it important to keep control on the use of AI in the course of business activities? How will the workshop enable the participants to identify the key principles to be reflected in the AI policy?
- Presentation of the organisation’s vision by a few selected staff representatives and/or management representatives (to be defined on a case-by-case basis);
- Exchange of views on the company/organisation vision of AI use;
- Summary and validation of the proposed principles to be included in the AI policy;
- Collaborative drafting of the key principles to be included in the AI policy.
- Outcome : At the end of the workshop, your organisation will have a clear foundation of guiding principles to finalise the drafting of its AI policy.
Pricing
- Basic Pack: 875 EUR excl. VAT (1.058,75 EUR incl. VAT);
- Includes workshop preparation, the workshop itself, and travel expenses (within Belgium);
- Does not include catering or room provision (to be provided by your organisation);
- Optional follow-up: support from Lexing to finalise the drafting of the AI policy, for a flat fee of 300 EUR excl. VAT (363 EUR incl. VAT).
Lexing only grants a non exclusive, personal and non transferrable license for all personal uses of the contract by the client. If a broader use is needed (for the use by third parties such as clients of the client for example), the client is required to contact us in order to agree on a specific license which is in line with its needs.
